Report Builder update

When you are filtering by a multi-select option in a Data Form in the Report Builder, you will now have the "In List" option (see Figure 11-1).

2-Factor Authentication update

You will now have the ability to set the number of days you would like the 2-Factor Authentication to be live before it is renewed. The max, and default, option is 30 days, with options down to "0" (see Figure 10-4). Selecting "0" would require the user to use the 2-Factor Authentication every time they log in. If you already have 2-Factor Authentication set, the new selection won't take effect until the previous selection expires.

Activity Log update

You now have the ability to select multiple filtering options in the Activity Log. When selecting the options you would like, hold the "CTRL" button, then select "Search" (see Figure 10-2) In addition, you now have a new filter titled "All (Exclude appointments)" that will show you all of the items in the Activity Log, except for appointments (see Figure 10-3).

API update

The getContact API method has been updated with new search parameters for improved accuracy. You can now search for contact by their exact first name, last name, or date of birth. Using these parameters will supersede the "cidList", "modified", and "modifiedBetween" parameters. Using these new parameters requires your API key to have access to Personally Identifiable Information (PHI) in order to work.

For example, to find a contact named "Daisy Doe" born on January 1st, 1980, you can now directly query using any of those specific details. You can find more details in our BestNotes API.

Client chart update

We have improved how phone numbers are work in client charts to improve the reliability of SMS notifications. The system will now automatically detect fake phone numbers, such as those consisting of repeating digits (e.g.,"(999) 999-9999") If this type of number is entered, the "Notify via SMS" checkbox will be deselected, and automatically deactivated, preventing any reminders being sent to invalid numbers (see Figure 10-1). If you later update the client's phone number to a real one, you will need to manually select the "Notify via SMS" checkbox to enable SMS notifications. This ensures that appointment reminders and other SMS notifications are not sent to obviously fake numbers.

Appointment update

The appointment process has been updated to not allow an appointment to be "Un-Checked-In" if there is a locked Group Note or Template associated with it. If you need to "Un-Check-In" an appointment with a locked document, you will have to unlock the document first. In order to unlock a document, you will need to "File Audit" permission.

 Warning:  If you unlock the document, and then "Un-Check-In the appointment, the document will be DELETED. It is recommended best practice to not Un-Check-In an appointment that has data in the documentation.

New Special Fields

There are four new special fields! All four of these special fields will display Problem Areas that do not have a resolved date. These special fields are:

  • {XPROBLEMAREAS_ACTIVE}
  • {XPROBLEMAREAS_TXT_ACTIVE}
  • {XPROBLEMAREAS_IR_DROPDOWN_ACTIVE}
  • {XPROBLEMAREAS_ASMT_DROPDOWN_ACTIVE}

Connection issue

Our latest version of BestNotes can have a connection issue if the time is out of sync on the computer you are using. You can fix this issue by following the instructions on our Unable to Connect page. If you have downloaded BestNotes V3.4, if you have a time sync issue, you will be notified on the screen, and you will see a link to the same help page(see Figure 8-4).

Email Verification notification

All users that have not verified their email address will receive an in-app notification prompting them to verify their email, and suggesting that they enable their 2-Factor Authentication at the same time (see Figure 6-1).

Contact's File tab

When uploading a file on a contact's chart, you can now set the date that will show on the Activity Log (see Figure 4-1). Additionally, when viewing the file on the Activity Log, it will show "File Received" instead of "File Uploaded" (see Figure 4-2).

Consent form revoke update

When a consent is revoked, the time that was displaying was calculated to Central Time. This has been adjusted and the time of the revocation will be set your selected time zone at the time of revocation.

New User update

When a new user selects the "Send Code" button, there was a 0:30 timer that would activate. This timer was intended to let the user know how long they had before they could send a new code. This timer has been removed, and the "Send Code" button will be deactivated for 30 seconds (see Figure 3-1). The verification code timeout is 10 minutes as indicated in the email with the verification code (see Figure 3-2).

Audit Reporting update

In the Audit Configuration area, there is a new option for "Send To Portal" you can now select to display audit record when the "Send To Portal" "Create" and "Delete" events occur (see Figure 2-7). Once these have been selected, you will see when an item has been sent to the portal, and when it was removed (see Figure 2-8).

Activity Log update

The Activity Log entries for Assessments and Treatment Plans will display a Register/Ledger icon if there is an associated entry (see Figure 2-5). Additionally, the special field XLEDGERCONTENT will now display the results in the snapshot (see Figure 2-6).

Preferred name in BestNotes

BestNotes has been updated to display the contact's "Preferred Name." This name will now be shown on the calendar (see Figure 2-1). In the eMAR the "Preferred Name" will be displayed in parenthesis if it exists (see Figure 2-2), and the Preferred Name and Last Name will be displayed on the signature pad (see Figure 2-3). If there is no Preferred Name, the First and Last Name will be displayed. The preferred name will also now be displayed in the eMAR reports (see Figure 2-4).

Custom and Library report update

When working with Custom and Library reports, you now have the ability to save the filtering options. This is set per report, per user.

  1. Select a report within the "Custom Reports" or "Library Reports."
  2. Select your desired filtering options and run the report.
  3. Select the "Save Report Options" icon in the top left corner.
  4. You will see a temporary verification of the save. Now when you open that same report, those filtering options will already be applied.
  5. If you would like to update the options, you can change the filtering options, run the report, and select the "Save Report Options" icon again. Then select "Ok" to replace the existing report options.
  6. If you would like to remove the report options, select the trash can icon that appears next to the save icon after the report options have been saved.
