CollaborateMD is a comprehensive medical billing platform that integrates with BestNotes to streamline your billing processes.
How to sign up for CollaborateMD (through BestNotes)
Only System Administrators with a verified email will be able to initiate the CollaborateMD sign up.
- Log in to BestNotes as a system administrator.
- Navigate to Settings.
- Select Account Details (only available to system administrators).
- Follow the on-screen prompts to enable the integratino and submit the subscription request.
All CollaborateMD charges will be invoiced by BestNotes as part of your regular billing. For questions about pricing refer to the CollaborateMD pricing page.
NOTE: The sign up, setup, and training to get started with Collaborate MD can take approximately 60 days.
What happens after sign up
Once the subscription is initiated:
- BestNotes and CollaborateMD teams coordinate onboarding.
- Your organization is configured in CollaborateMD
- Secure API connectivity is established between BestNotes and CollaborateMD
- Claims, eligibility requests, and billing data can begin flowing from BestNotes to CollaborateMD.
The onboarding team provides guided support to ensure the configuration matches your clinical and billing workflows.
How to access CollaborateMD after connection
Accessing the Platform
- CollaborateMD is 100% web‑based and can be accessed from any modern browser on desktop, tablet, or mobile.
- Once setup is complete, designated users will receive login credentials or invitations.
Using CollaborateMD with BestNotes
- Claims are sent directly from BestNotes to CollaborateMD via API.
- Billing staff work primarily in CollaborateMD for:
- Claim submission and tracking
- Eligibility checking
- Payment posting (ERA/EOB)
- Patient statements and payments
- Financial reporting and analytics
BestNotes remains the system of record for clinical documentation, while CollaborateMD manages the revenue cycle.
