The account-level Surveys tab shows surveys across every client you have access to. It's useful for triaging what's still outstanding and for reviewing recent completions without having to open each client.
The three views
- Pending Surveys — surveys assigned but not yet completed. Available to level 2+ users; level 1 users only see the Completed view. The Instance column shows the program plus the series instance label as a chip (for example IOP: A28, with the facility prefixed on multi-facility accounts). Surveys with no instance label show an empty cell, and a pending survey's label can change if the client's admit or discharge date is corrected.
- Completed Surveys — recently submitted surveys. Click the survey name to open the review modal; click elsewhere on the row to open the instance details.
- My Surveys — the surveys assigned to you that are still waiting on an answer. Always available, at every access level, and it only ever shows your own — never another user's.
Completing a survey assigned to you
When a survey is assigned to you rather than to a client or a related contact, you complete it inside OutcomeTools — there is no emailed link. The notification email tells you surveys are waiting and to sign in; it deliberately carries no link and does not name the surveys.
Open the Surveys tab and switch to My Surveys. The list shows the survey name, the client it is about, when it was assigned, and when it expires, ordered so the soonest to expire is first. Click any row to open the survey and fill it in; you can use Complete Later to save your progress and come back. Once you submit, the row leaves the list.
If a survey was shared with you during a telehealth session and you did not finish it before the session ended, it moves to My Surveys. The session link no longer opens it — surveys assigned to you are always completed by signing in.
A count badge appears on the Surveys tab in the sidebar whenever you have surveys waiting, and clears once you have completed them all. When you have none, My Surveys shows an empty list rather than an error.
You can complete a survey assigned to you even when it is about a client you would not otherwise be able to open — the assignment itself is what grants you access, and only to that one survey. The client's name is shown for context but is not a link.
How to filter the pending survey list
Open the filter dropdown from the toolbar while the Pending Surveys view is active:
- Assigned to — Anyone or Only Clients. Use Only Clients to hide surveys assigned to related contacts or care-team users.
- Phase — Any Phase, Admit, or Discharge. Limits the list to instances from an admit-phase or discharge-phase series; because it matches on the series, picking a phase also leaves out ad-hoc surveys. Shows as a Phase: Admit chip on the toolbar.
- Facility — limit to one facility. Shown only when your account has more than one facility. Picking a facility narrows the Program list to the programs offered there.
- Program — limit to one program.
- User — limit to surveys on clients in the selected user's programs / care teams.
- Show Recently Expired — checkbox to include recently expired instances in the list. The red badge next to it shows how many recently expired instances exist; expired rows appear as an Expired chip on the toolbar.
Surveys that were skipped or dismissed are always left out of this account-wide list, since neither is still waiting on an answer. To see them, open the client's own Surveys tab and use its Show Skipped or Show Dismissed filter.
How to filter the completed survey list
The Completed Surveys view offers a different set of filters:
- Facility — limit to one facility (multi-facility accounts only); narrows the Program list to that facility's programs.
- Program — limit to one program.
- User — limit to surveys on clients in the selected user's programs / care teams.
- Past — completion-date range, chosen from a set of options (7 days, 14 days, 30 days, 90 days, 6 months, 1 year; defaults to the last 14 days).
What you can do from the account survey list
- Completed row → click the survey name to open the review modal; click elsewhere on the row to open the instance details.
- Click a client name in either view to jump to that client (their Surveys tab from Pending, their Summary from Completed).
- Pending row administered by Link → click the copy button beside the method in the Administer by column to copy that survey's portal link.
- My Surveys row → click anywhere on the row to open the survey and complete it.
- Pending row → level 3+ users can click the row to open the same instance actions (edit, mark skipped, dismiss, send reminder, reset, restore) available on the client's own Surveys tab. Everything except Update lives in the actions menu at the bottom left of the modal, and exactly which ones appear depends on your access level and the instance's current status.
Common uses of the account survey list
- Morning triage — Pending view, filter to your program, sort by due date to see what's overdue first.
- End-of-week review — Completed view, Past = 7 days, filter to your program.
- Catch stragglers — Pending view with Show Recently Expired checked.
- Clear your own queue — My Surveys, working down from the survey expiring soonest.
