The Detail tab is where you view and edit a client's identifying information, their related contacts (family, caregivers, emergency contacts), and account-level settings (tags, kiosk PIN).

What's on the Detail tab

The tab is organized as a set of cards: one for the client's identifying details, a Settings card (tags, and — when kiosk delivery is enabled — the client's kiosk PIN), and one card for each related contact (parent, spouse, caregiver, emergency contact). The exact set of cards and fields depends on how your account is configured.

View the client's demographics

The client card shows the client's full name, preferred name, date of birth, and birth sex, plus gender identity, pronouns, race, and ethnicity when they're set, along with admit and discharge dates and any alt or global ID. A second column shows the delivery method (Administer Surveys by), email, alt email, phone, and address.

Edit a card

To change information on a card, click the edit button in its header to open the edit modal, make your changes, and click Save. Edits to the client record are recorded in the client's activity log.

Add a related contact

  1. Click the + icon in the Related Contacts header.
  2. Fill in the contact's first and last name and set the relationship — pick a suggested relationship (Mother, Father, Guardian, Wife, Husband, Brother, Sister, Grandmother, Grandfather, Friend, …) or type your own.
  3. Optionally add an email, alt email, phone, and address, and pick a default delivery method for this contact.
  4. Click Save.

Related contacts can be selected as survey respondents when you assign a survey — useful for caregiver-completed instruments.

Manage tags and the kiosk PIN

The Settings card holds the client's tags — edit them with the button in the card header — and, when kiosk delivery is enabled for your account, the client's kiosk PIN, which you can regenerate.

The Contact card on Client Summary

The Client Summary page (the landing view for a client) carries a read-only Contact card that surfaces the most-used pieces of this same record at a glance:

  • Demographics (DOB, sex) and the primary diagnosis from the active program enrollment.
  • The client's phone and email, each with an icon.
  • Primary Care — the primary care-team member.
  • Up to two related contacts, with a Show N more link that jumps to the Detail tab when there are more.

The card title is a link — click it to jump straight to this Detail tab to edit. Level 4+ users see the link; level 1–3 see the card without the navigation affordance.

Locked fields (external system of record)

If your account is connected to an external system of record (for example BestNotes), the client and contact records may be managed there. In that case you'll see a lock chip (for example Managed in BestNotes) on each card instead of an edit button, and the fields can't be edited in OutcomeTools — update them in the external system and the changes sync back.
