The Clients tab is the starting point for everything client-focused — viewing, searching, filtering, and opening a client.

Level 1+

My clients vs. all clients

A view switcher at the top of the page toggles between two lists:

  • My — only clients you're on the care team for.
  • All — every client you have access to.

For levels 1–4, All means clients in any program you're assigned to plus clients you're on the care team for. Level 5 users see every client in the account.

Search for a client

The search box in the toolbar matches against:

  • The client's first, last, and preferred name, their alt ID and global ID, their email, and their phone (spaces, dashes, and parentheses are ignored — type the digits in any style).
  • The client's related contacts (parents, guardians, spouses, etc.) by name, email, or phone. When a client surfaces because of a related contact, a small chip — the relationship's initial — sits next to the relative's name under the client's name; hover the chip for the full relationship.

Related-contact matches require at least three characters typed.

Filter the client list

Open the filter dropdown from the toolbar. The options are:

  • Show Archived — by default only active clients are shown. Check this to include archived clients in the list.
  • Facility — narrow to a single facility. Shown only when your account has more than one facility. Choosing a facility limits the Program list to the programs offered there.
  • Program — narrow to a single program. Only programs you have access to appear (and, when a facility is selected, only the programs offered at that facility).
  • Tags — filter by any tags your admin has set up (e.g. Adolescent, IOP).

Active filters appear as removable chips beside the toolbar.

Read the client columns

Each row shows the client's name (with an alert icon when they have an active alert, and an archived chip when inactive), their Admit and Discharge dates, their Programs, and their Primary care-team member. Sort by clicking the Client, Admit, or Discharge column headers.

The Programs column and facility chips

The Programs column lists the program(s) the client is enrolled in. If your account has more than one facility, each program is shown with its facility as a single chip (for example Utah | IOP), and programs at the same facility are grouped together into one chip (Utah | IOP | RES). Accounts with a single facility show the program name only.

Open a client

Click any row to open the client. You'll land on the client's Summary tab.

Add a client

Click the + button in the toolbar. The button appears only if you have level 4 access — see Adding a client for the walk-through.

Why is the list empty? If you're new, you may not be on any care teams yet — switch to the All view to see clients in your program. If that's also empty, ask an administrator to assign you to the right programs.

Connected to a System of Record EHR? If your account is linked to an EHR (System of Record), the + button is hidden — clients are created in the EHR and synced into OutcomeTools, not added here.
