A program is the clinical track a client is enrolled in (IOP, PHP, Residential, etc.). Programs are required on every client at creation and they drive survey-series automation, the program filter on reports, and per-user visibility.

Where to manage programs

Programs are managed on the Settings page, on the Programs card. The card lists every program with its status and lets you add, edit, and set a default.

Creating a program

  1. Open Settings.
  2. On the Programs card, click the + button to open Add Program.
  3. Enter a Name — max 12 characters, shown everywhere (e.g. Adol IOP).
  4. Optionally enter a Description.
  5. Click Save. The program is created as active.

Editing a program

Click a program row to open the edit modal. You can change the name, description, and whether the program is Active (status switch in the modal footer). You can also mark one program as the default program — when set, the Add Client modal will preselect it.

Archiving a program (active vs. archived)

  • Active — shows up in Add Client, can be selected on the Clinical tab, runs its automated series.
  • Archived — can no longer be picked for new admits. Existing enrollments keep their historical data and show up on reports; automation for already-enrolled clients continues running.

Archive a program (instead of deleting) to retire it. Programs are intentionally not deletable — they're referenced by historical enrollments, surveys, and reports.

Programs and series

Series are configured on a separate Survey Series card on the Settings page. That card has tabs — one per program, plus an Account tab for series that apply to every program. When a client is enrolled in a program, the series on that program's tab (and any account-level series) run for them. See Series & automation for details.

How programs affect who sees a client

Programs don't hide clients on their own, but they interact with user visibility:

  • Levels 1–4 see clients in the programs they're granted (via the Facilities and Program Access controls on the user edit form), plus clients they're on the care team for.
  • Level 5 users get the account-wide admin role; their reach still follows their facility and program grants unless left unrestricted.
