Tags are short, color-coded labels you attach to clients. Use them for anything programs don't already capture — clinical labels (high-risk, dual-diagnosis), administrative (insurance-XYZ), or workflow (new-intake, follow-up-pending).
Where to manage tags
Tags are managed on the Settings page, on the Tags card.
Creating a tag
- Open Settings.
- On the Tags card, click the + button to open Add Tag.
- Enter a Name (keep it to one or two words — the tag is rendered as a chip).
- Optionally add a Description.
- Pick a Color from the palette.
- Click Save.
Editing a tag
Click a tag row to open the edit modal. You can change the name, description, color, and flip the active switch in the modal footer.
Applying tags to clients
Tags are not set from the Add Client modal. Apply them after the client is created:
- Open the client and go to the Detail tab.
- On the Settings card, click the edit button next to Tags.
- Check the tags to apply, uncheck to remove, and save.
Any user who can edit a client (level 4+) can change that client's tags.
Filtering the client list by tag
On the client list, the filter dropdown shows a tag checkbox for each configured tag. Selecting one or more tags narrows the list to clients that have any of those tags.
Using tags as survey-series criteria
Tags can also gate automated series. When you create or edit a series rule, the Criteria section lets you pick one or more tags — only clients carrying at least one of those tags will have instances generated for that rule. This is useful for workflows that should only run on a subset of clients in a program (e.g. a high-risk tag triggering an extra weekly check-in).
Tags combine with the rule's other criteria (diagnosis, age, birth sex) using AND — a client must satisfy every criterion type that's set. Within the tag criterion, multiple tags combine using OR (a client needs at least one of the selected tags).
Archiving a tag
In the edit modal, flip the active switch off to archive the tag. The tag stops appearing as an option for new assignments and stops appearing in the client-list filter. Clients already carrying the tag keep it for historical reference.
Tags vs. programs. Programs describe where a client is being treated (the clinical track — IOP, PHP, etc.). Tags describe anything else you want to classify or filter by. A client can have many tags but typically only one or two program enrollments.
