This document will walk you through how to create a portal account for your customer. There will be two ways to perform this, the first being the recommended workflow. The actions that you will need to take, being the BestNotes user, will be referred to in the "BestNotes company" sections, and the end user actions (your client) will be referred to in the "Company client" sections.

Create portal account within client chart

This method is how we recommend you setup your client's portal accounts. This will have the BestNotes user initiate the creation of the portal account, sending an email to the client, with a link and instructions for moving forward, reducing the confusion for the customer.

BestNotes company

  1. Navigate to the client's chart.
  2. Verify that there is a valid email. If there isn't an email, ask the client for a valid email.
  3. In the top left corner of the client's chart, select icon that looks like a globe with a person.
  4. You will then receive a message asking if you want to create a portal account, and to verify the email that it will be sent to. Select "Yes."
  5. Now you will receive a message stating that the portal account has been created, and an email has been sent. Additionally, you will have the option to print the instruction that will be sent to the customer. To print, select "Yes", to ignore, select "No."
  6. The customer will receive an email to complete the registration process.

Company client

  1. Once you have received the email, select the link to complete the registration process.
  2. A new window will open, this will direct you to create your password. Add your new password and select "Reset Password."
  3. Follow the onscreen instruction regarding the verification email. This verification email will only be valid for 30 minutes.
  4. In the verification email, select the "Verification Link."
  5. You now have a portal account! You may fill out any necessary applications and sign documents.

Creating a portal with an external link

This is an alternative method, and is intended to be used when a portal link lives in your company website, or if you have multiple portal accounts, such as V2, or V3. Otherwise, we recommend you use the method described above.

BestNotes company

  1. Direct your client to your website portal link, or send the customer a direct link to the portal you want them to go to.

Company client

  1. Select the link to open the portal login page.
  2. On the right hand side of the window, fill out the information required, and select "Create Account."
  3. Follow the onscreen instruction regarding the verification email. This verification email will only be valid for 30 minutes.
  4. In the verification email, select the "Verification Link."
  5. You now have a portal account! You may fill out any necessary applications and sign documents.
